Approve, Deny, or Substitute Waitlist Requests
This article explains how to manage waitlist requests for your organization’s tickets in TicketOS. You’ll learn how to review pending requests, approve or deny them, and substitute tickets when needed.
Overview
The Waitlist Requests page allows you to review and take action on ticket requests submitted for waitlisted events.
You can:

View open and closed waitlists
-
Review pending, approved, and denied requests

Approve or deny requests
-
Substitute tickets instead of denying a request

Track total, awarded, and remaining ticket counts
Step-by-Step Instructions
Access Waitlist Requests

Go to Orders in the main menu.

Select Waitlist Requests.
-
Use the tabs to switch between:
-
Open – Events currently available for request
-
Closed – Events that are no longer accepting requests

View Requests for an Event
-
Locate the event you want to review.
-
Click View next to that event.
-
Select the appropriate tab:
-
Pending – Requests that require action
-
Approved – Requests you’ve already approved
-
Denied – Requests you’ve already denied

Approve a Request
-
In the Pending tab, review the request details.

Use the Approved Ticket Quantity dropdown to select how many tickets to award.

If parking is included, the parking quantity will update automatically based on your ticket selection.

Select the checkbox next to the request.
-
Click Approve.
The request will move from Pending to Approved, and ticket counters will update automatically.
Deny a Request

In the Pending tab, select the checkbox next to the request.

Click Deny.
-
Select a Denial Reason.
-
Enter any optional comments.
-
Click Deny Order to confirm.
The request will move from Pending to Denied.
Substitute Tickets Instead of Denying
If approving a request would use all remaining tickets, you may choose to substitute different tickets rather than deny another request.
To substitute tickets:

Select the checkbox next to the request.
-
Click Substitute.
-
Search for a replacement event by:
-
Selecting an Event Date, or
-
Searching for the event by name.
-

Select the desired event.
-
Review the available tickets displayed below.

Choose the desired ticket quantity.

Select the corresponding tickets.
-
Click Substitute to confirm.
The request will be immediately approved and filled with the selected substitute tickets.
What Happens Next

Approved requests move to the Approved tab.

Denied requests move to the Denied tab.
-
Substituted requests no longer appear under the original event’s request list.

Ticket counters automatically update:

Total Tickets
-
Awarded Tickets
-
Remaining Tickets

Common Issues
Approving One Request Denies Others
If approving a request would consume all remaining tickets, you’ll see a warning. Other pending requests may be automatically denied if you proceed.
You can choose to:

Continue with approval, or
-
Use the Substitute option to offer different tickets instead
Ticket Counters Not Updating
Ticket totals update automatically after each approval, denial, or substitution. If numbers appear incorrect, refresh the page and review the Pending tab.
Important Notes
-
You must select a denial reason before denying a request.
-
Parking quantities adjust automatically when tied to ticket quantities.

Substituted requests are filled with different tickets and will not appear under the original event’s Approved or Denied tabs.

Continue reviewing remaining pending requests until all actions are complete.
