How the Waitlist Works in TicketOS
Waitlist tickets allow multiple users to request the same limited ticket inventory. This article explains how the waitlist process works in TicketOS, from submitting a request to how fulfillment decisions are made.
Overview
Waitlist tickets are used when ticket inventory is limited but you want to give multiple users the opportunity to request access.
Instead of automatically assigning tickets as soon as someone requests them, TicketOS collects requests first. Those requests are then reviewed and fulfilled based on available inventory and your organization’s process.
Submitting a waitlist request does not guarantee tickets.
How Users Submit Waitlist Requests
When tickets are released to the waitlist:

You select the desired ticket quantity from the event page.

You click Request to begin checkout.

You complete all required fields, including:

Usage category (how the tickets will be used)

Guest details
-
Delivery information
-

You review your request and click Place Order.
After submission, your order status will show as Pending Waitlist Approval.
This means your request has been received and is awaiting review.
How Limited Inventory Is Handled
Waitlist tickets allow multiple users to request the same ticket inventory.
Because inventory is limited:

The total number of tickets requested may exceed the number available.

Not all requests may be fulfilled.

Requests remain in a pending state until reviewed.
TicketOS tracks:
-
Total tickets available on the waitlist
-
Tickets that have already been awarded
-
Tickets remaining to be awarded
As tickets are approved, the remaining inventory decreases. Once inventory is fully awarded, additional pending requests cannot be fulfilled unless tickets are substituted or inventory changes.
What Determines Whether Tickets Can Be Fulfilled
A waitlist request can be fulfilled when:

Sufficient ticket inventory is still available.

The requested quantity can be awarded based on remaining tickets.
If approving one request uses all remaining tickets, other pending requests may be automatically denied due to lack of inventory.
In some cases, a request may be fulfilled with substitute tickets instead of the originally requested tickets, if other options are available.
Request Outcomes
After review, your waitlist request will move to one of the following statuses:

Approved – Tickets have been awarded.

Denied – The request could not be fulfilled.

Fulfilled with substitute tickets – A different available ticket option has been provided.
