Using Smart Load

Smart Load helps you quickly load and assign tickets for new events. When new events are identified, ticket blocks are pre-loaded for your review so you can price, edit, assign, or ignore them from one central page.

Overview

Smart Load automatically identifies new events at venues where your organization has previously loaded tickets.

When a new event is found:

  • Ticket blocks are pre-loaded based on similar events from the past 365 days.

  • Prices are set to $0.00 by default.

  • Tickets appear in a To Do list for your review.

You can then:

  • Update pricing

  • Edit ticket details

  • Assign tickets

  • Ignore tickets

Once assigned, tickets are officially loaded and moved to the Done list.

Where to Find Smart Load

  1. Click Inventory in the main navigation.

  2. Select Smart Load.

The page includes three tables:

  • To Do – Newly discovered ticket blocks that require action

  • Done – Tickets that have been loaded and assigned

  • Ignored – Tickets you chose not to load

You can filter results by:

  • Event Date

  • Ticket Category

  • Artist or Team

  • Venue

Reviewing Tickets in the To Do List

The To Do table contains ticket blocks that were pre-loaded and require action.

Each row displays:

  • Event Name

  • Venue

  • Event Date

  • Section and Seat Details

  • Quantity (tickets + parking)

  • Face, Cost, and Charge Price

Prices shown in red indicate they are still set to $0.00.

From this table, you can take the following actions.

Updating Prices

You can update pricing in two ways:

Price a Single Ticket Block

  1. Click directly into the row or select the Price button.

  2. Enter Face, Cost, and Charge prices.

  3. Click Save to lock in your changes.

Price Multiple Ticket Blocks

  1. Select multiple ticket blocks using the checkboxes.

  2. Choose Price from the Action menu.

  3. Enter the new prices.

  4. Click Price to apply changes to all selected blocks.

Editing Ticket Details

If ticket details need adjustment:

  1. Click Edit on a single row, or

  2. Select multiple rows and choose Edit from the Action menu (when available).

You can modify ticket properties such as:

  • Format (Physical, Mobile, etc.)

  • Type (Seating, General Admission, Parking Pass)

  • Category

  • Section, Row, Seat range

  • Quantity

  • Parking details

  • Resale setting

Inventory Status is preset and cannot be modified.

Click Save to apply changes.

Assigning Tickets

Assigning tickets finalizes the ticket load and creates the assignment.

Assign a Single Ticket Block

  1. Click Assign on a row in the To Do table.

  2. Select quantities (tickets and parking).

  3. Choose an Assignment Type:

    • Undistributed

    • Allocate to User

    • Distribute to Manager

    • Public

    • Waitlist

  4. Complete the required fields.

  5. Click Assign.

Assign Multiple Ticket Blocks

  1. Select multiple ticket blocks.

  2. Choose Assign from the Action menu.

  3. Select the Assignment Type.

  4. Complete required fields.

  5. Click Assign.

After assignment:

  • Tickets are officially loaded.

  • The listing moves from To Do to Done.

Viewing Assignments

From the Done table:

  1. Click View Assignments.

  2. Review assignment details, including:

    • Assignment Type

    • Assigned User (if applicable)

    • Order information (for allocated tickets)

Ignoring Tickets

If you do not want to load certain tickets:

  1. Click Ignore on the row, or

  2. Select multiple rows and choose Ignore.

You can choose:

  • Just This Once – Moves the tickets to the Ignored list.

  • Always Ignore – Automatically ignores matching ticket blocks for future events at that venue.

Ignored tickets remain visible in the Ignored table unless they expire.

Notifications

You may be notified when new ticket blocks are discovered through:

  • A task in My Tasks

  • An in-app notification

  • An email summary

Notifications are sent when new ticket blocks are added and still require action.

Important Notes

  • Only users with Inventory permissions can access Smart Load.

  • Prices default to $0.00 and may need to be updated before assignment.

  • Assigning tickets finalizes the load and creates the assignment.

  • Ignored tickets can be configured to always ignore similar future blocks.

  • Reclaiming or re-assigning tickets after assignment is not part of Smart Load.
